Printing Using the PaperCut Print Deploy Service
Changes to the CSCS Printing Service
From April 2025, The Clinical Computing Service (CSCS) is making changes to the “Printing Support” service which will now be delivered through the UIS DS-Print/Print Deploy service - more details can be found here https://help.uis.cam.ac.uk/service/printing
This printing service is available over a wired network connection only.
Printing from an external WiFi is possible only when you also connect via the University VPN.
Initially all printers will be set up as “Direct Printing” only.
Once all printers are then recovered & in service, those printers needing “Print Release” will then be set up.
Types of Print Service
Direct Print - To recover printers for the various Institutions/Departments, we have had to clear all existing configuration to simplify the set up. So all printers that we have recovered will be set up only for “Direct Print”, which is where a print job is sent to the printer and it just comes out, so there is no Card or PIN used to release it, therefore no account tracking, no finisher settings etc..
Print Release - at a later date when all printers that can run “Direct Print” have been set up, we shall then set up Konica Minolta printers that require “Print Release”. This is where a print job is sent to the printer and a Card or PIN is needed to release it, allowing for account tracking, scan-to-email, finisher settings etc..
How to Set Up a Printer
Installing PaperCut Print Deploy Application on Windows or macOS UMD & non-UMD
To be able to use a printer, you need an application called PaperCut Print Deploy that gives you access to your department printers.
All Windows University Managed Desktop (UMD) laptop & desktop devices for both single & shared-use will already have the PaperCut Print Deploy client installed, so all that is needed is you to find the printer & set it up on your UMD device.
All macOS University Managed Desktops (UMD) laptop & desktop devices for single-use will need to open Self-Service portal & search for Print Deploy and then install. For shared-use, it will already have the PaperCut Print Deploy client installed
If you are not on UMD then you will need to install the application PaperCut Print Deploy, using the guides here:
Permissions to Print
If you are a member of staff, permissions will be given using information from the HR system, so you will be able to see your department’s printers automatically.
If you are a visitor, temporary staff or student working in a department or a staff member trying to use another department’s printer & therefore not on the University HR system for that department, you can be manually added & removed from your department’s printers, just contact your printer owner, see Printer Owners list below.
Your department’s printer owner will have permissions to do this, see list below, or alternatively you can contact the CSCS Service Desk to be added.
Once you have permi
Installing the Printer in PaperCut Print Deploy
Once the PaperCut Print Deploy client is installed:
On Windows, you can open it from the Task Bar, bottom-right. You are looking for a green printer icon, see below & you can then right-click on it & select View My Printers. If prompted, you will need to sign in with your Raven/O365 account that is crsid@cam.ac.uk.
On macOS, you can open it from the Menu Bar, top-right. You are again looking for a green printer icon, see below & you can right-click on it & select View My Printers. If prompted, you will need to sign in with your Raven/O365 account that is crsid@cam.ac.uk.
You will then need to look for your Department’s printer, by clicking on Add printers, which can be found on the left-hand side panel, see in red below:
On the top-right side, enter your department’s Institutional code, for example: CNEUROL for Clinical Neurosciences, MED for Department of Medicine.
If you are not sure what your Institutional code is, you can look up your department here - https://www.lookup.cam.ac.uk/inst
All printers set up for that department will then be listed, see below
All printers have a naming convention of InstitutionCode_Building-Full-Name-Level-Floor_Number of Printers, for example see below, which should help you identify which printer you wish to install
Printer Name | Department/Institution | Building Location | Floor | Printer Number |
|---|---|---|---|---|
CLINMED_Clinical-School-Level-4_01 | Faculty of Clinical Medicine | Clinical School Building | Level 4 | 1 |
MED_Addenbrookes-Hospital-Block-E-Level-5_03 | Department of Medicine | Addenbrookes Hospital, Block-E | Level-5 | 3 |
COMMED-Strangeways-Research-Laboratory-Ground-Floor-Room-51_01 | Department of Public Health and Primary Care | Strangeways Research Laboratory (SRL) | Ground Floor | 1 |
Once you have identified the printer you need to install, find it in the list & then click on Install, see circled below
The printer will then install…
You will then be able to select the printer within your applications as normal, see below
Please note, many printers on a Windows laptop or desktop PC, are set up for printing in grey-scale to use less toner.
However, if you have a colour printer & wish to print in colour, after you have installed the printer in Print Deploy Application, you can select colour in the Windows printer Settings. If you are unsure how to do this, please contact the CSCS Service Desk - https://itsupportcscs.haloitsm.com/portal/home
