SDHS Transfer Service - Data Manager Notifications Information

When a transfer folder is created, the Data Managers have an option to receive a daily digest of all activity that occurs for that directory. This information includes details of the file and when it was uploaded and downloaded. The information that is reported back is subtly different for each of the Transfer Models that are available. This documentation sets out what information Data Managers can expect to receive in the digest emails.

Emails are sent out once per day, shortly after midnight.

Prior to showing each table, we display the name of the Transfer Folder that we are reporting on, and the mode that this folder is currently configured in. Only directories that have had transactions recently are included, so the absence of a directory from this report shows that either no data is present in the directory or no file upload/download operations have occurred.

Transfer Models 1 & 2 - Automatic Move Into a Timestamped Folder / Automatic Move Into Folder And Timestamp File

You will be presented with a table in the style of the one below. It includes the following information:

  • Name of the Folder (in this case it is the default 'In' folder)
  • Details of the Model that this folder is configured as
  • File Name - this is the file name and location of the file within the SDHS Study Group Drive
  • Upload Date/Time
  • Uploaded By


Transfer Model 3 - Monitoring Only with Failsafe Clearout

In this model, Data Managers are responsible for removing the data from the Transfer Service. As the data in this model can reside on the server for periods of time until it is cleared, we include information about whether the file is still on the Transfer Service, or when it was removed. The information for who and when the file was uploaded by is still included.

You will be presented with a table in the style of the one below. It includes the following information:

  • File Name - this is the file name relative to the root of the Transfer Service
  • Upload Date/Time
  • Removed Date/Time
  • Time On Server in Hours - note that 1.75 hours is 1 hour 45 minutes.
  • Uploaded By

Transfer Model 4 & 5 – Automatic Clearing after 24 hours / Monitoring Only with Failsafe Clearout

For outgoing directories, as well as including details of when the file was placed on the Transfer Service and removed from the service, we are able to provide details of who has downloaded and deleted files. For each file that has been seen in the directory, we include information on:

  • File Name - this is the file name relative to the root of the Transfer Service
  • Upload Date/Time
  • Removed Date/Time
  • Time On Server in Hours - note that 1.75 hours is 1 hour 45 minutes.

Appended to this is a table containing information on downloads and deletes, which includes:

  • User
  • Action - which will be either Download or Delete
  • Date/Time - of which the Action occurred
  • Protocol - shows whether this action occurred using HTTPS or SFTP
