Setting up a Shared Mailbox in Outlook (Windows) - Exchange Online

When setting up an Exchange Online Shared Mailbox in Outlook, use these instructions below to add it to standard Windows device:

In Outlook click File > Add Account

Add in the email of the shared mailbox and press Connect

**Please note with shared mailboxes you add them using the primary email address (usually @medschl). There is no need to change the login email domain to @cam for shared mailboxes.

A University of Cambridge prompt will come up where you are prompted for a password, it will list the shared mailbox email address as the username. Rather than adding a password select 'Sign in with another account'

This will then open up a Microsoft Sign In prompt, delete the shared mailbox email which auto populates then enter your own CRSid@cam.ac.uk address as the username :

Select ‘Next' and then enter your own Raven password and complete the multi-factor authentication process to sign in.

A popup of ‘Account successfully added’ should then appear.

Your shared email account should then show up in Outlook after restarting it

Troubleshooting

If the ‘Account successfully added’ popup does not appear, please double check you are adding the correct details in each step as above.

If you need to confirm your sign in details, you can try sign in to https://www.office.com/ with your @cam/Raven details to check the username and password are correct

If the login details you are using are correct, and still cannot add the account successfully, it may be that you have not been granted access to the shared mailbox in question. The CSCS Service Desk can check your access if you log an Incident at https://itsupport.medschl.cam.ac.uk/ or email CSCSservicedesk@medschl.cam.ac.uk
