Clinical School Rooms - Using the Cisco Video Conferencing Units

  • Seminar Room 6, Seminar Room 13, and the Committee Room all have Cisco Videoconferencing units in them.

  • These units are capable of joining meetings via WebEx, Zoom and now Teams.

Getting started

  • To start, go to the Crestron Touch Panel on the lectern and select “Start Video Conference Mode”.

  • Once the Audio Visual (AV) equipment has switched on, go to the table where you will find there is a Cisco Touch Panel; if the screen is black, you may need to touch it to wake it up, then you should see the following.

Having a MS Teams call

  • You will first need the Meeting ID and Passcode for the meeting you are attending. These can be found in the meeting invite if the organiser has done a MS Teams meeting, for example, see below.

  • On the Cisco Touch Panel, press the “Microsoft Teams” button, circled in red below.

  • You will then be asked for the Meeting ID and Passcode; the passcode is case-sensitive.

  • Tap into the Enter meeting ID field & a number pad will appear and then enter the meeting ID details.

  • Tap into the Enter passcode field a on-screen keyboard will appear and then enter the passcode, which is case sensitive, then click the “Join” button to join the meeting.

Note: If you mis-type the Meeting ID or the Passcode, it will appear to start joining the meeting before it then fails, so you will then need to re-type the meeting details.

  • Once connected, you will have joined the call in the “lobby” so it will require someone else already in the meeting, to click on Admit to move you from the Lobby to the meeting.

  • Once you have finished your call, to disconnect press the “End Call” button on the touch-panel, see below

Having a Zoom call

  • You will first need the Meeting ID and Passcode for the meeting you are attending. These can be found in the meeting invite if the organiser has done a Zoom meeting, for example, see below.

  • Alternatively, you can join the meeting from within the Zoom Meeting by clicking on the up-arrow beside “Participants” and clicking “Invite…”, circled below.

 

  • In the window that pops-up, click on “Room System” and you will see the “Meeting ID” and the “Passcode” in the lower half of the window, see below.

  • Once you have the Meeting ID and the Passcode, press the “Join Zoom” button on the Cisco Touch Panel, circled in red below.

  • The Touch Panel will then display the following.

  • Press “Enter” beside the Meeting ID field to bring up the on-screen keyboard and enter the meeting ID.

  • Do the same for the “Passcode” and then press “Connect to Zoom

  • The panel will then show that it is connecting to the meeting, and waiting for the room to be admitted, see below.

  • The TV will show you are waiting to be admitted, see below.

  • The host of the meeting will see a notification you are waiting.

If you see the error “The host of this meeting does not have a Conference Room Connector (CRC) license” below.

This means the meeting organiser does not have a Zoom Conference Room Connector (CRC) licence - this is required to connect via the Room Kit.

The University has a Zoom account, managed by UIS, that has CRC licenses, so if you a Zoom account and would like to become part of the University account, please contact the Telecoms Helpdesk at phones@uis.cam.ac.uk

Changing camera options

  • The Cisco Video Conferencing unit allows you can change the video camera options at any point before or during a call, they are:

    • Group - shows most of the room

    • Speaker - focuses on the last person to speak

    • Frames - shows multiple people in individual frames and

    • Manual

  • You can also move the “self-view” around the screen, or hide it altogether.

  • To change the camera settings before a meeting, touch the icon in the top-right corner of the touch-panel:

  • Touch the “Camera” button.

  • You can then choose from the options, swiping the screen left/right to scroll between options.

  • Pressing on “SelfView” at the top allows you to hide the self-view, or move where it is located on the screen.

  • To change these setting during a meeting, on the Touch Panel press either the “Selfview” or “Camera” button.
