Mailbox Rules

Introduction

Rules can be used to automatically forward, delete, file away, set alerts or categorise incoming email.  They can be based on many different criteria such as sender or subject.  If you had set up rules in your medschl mailbox they will not be moved to Exchange Online and will need to be recreated.

The options in the two systems are not entirely identical. There are more options in the new Exchange Online system so you should be able to find suitable settings to recreate your rules.

Reviewing Rules in Medschl Webmail

In order to review the existing rules in your medschl webmail, please follow the below steps:

  1. Log in to https://webmail.medschl.cam.ac.uk using your Medschl username and password (that you would use to log in to a supported departmental computer).

  2. Select the cog icon in the top-right of the window, next to your name. Then select Options from the drop-down menu:

  3. In the options page, select the organize email option.

  4. The inbox rules pane should appear.If you have any rules they will be displayed.  Any rules that are currently active will have a blue tick beside it.

  5. Select a rule and click on the pencil Icon above the rules to view the configuration

  6. If you can have 2 windows open one with Medschl webmail https://webmail.medschl.cam.ac.uk and another with Exchange Online https://outlook.office.com/mail/ creating new rules will be very easy. Otherwise we suggest that you take a screenshot or write down the configuration of the rules you want to have in Exchange Online.

Creating new rules in Exchange Online

 

  1. Go to Exchange Online https://outlook.office.com/mail/

  2. Click on the gear icon near the top right of the window

  3. Click View all Outlook settings

  4. Click on Rules

  5. Click + Add new rule

  6. Name your rule and select the appropriate conditions

  7. If you have several rules that might apply to a message but only want to apply one, tick the Stop processing more rules tickbox

  8. Tick Run rule now if you have messages in your inbox that you want to be processed by your new rule

  9. Click Save when you are happy with your rule and then run through steps 5-8 to create another one.
